Calculating the Cost of Faxing
Faxing documents is a business necessity that costs a significant amount of both time and money.
Whether you're faxing manually or using desktop faxing software, you're probably spending more time and money they needed.
A person spends on average 10 minutes manually faxing a document. This includes the time required
to print the document, looking up the fax number, printing and completing the cover sheet, walking
to and from the fax machine, waiting for the fax to be sent, and waiting for the confirmation document
to be printed. And if the transmission fails, a number of these steps must be repeated. Desktop
faxing software does address some of the issues, but because most faxing applications are stand-alone
products that are not integrated with your EAM application - they still waste a significant amount of
time and money. Our experience shows that it still takes about 7 minutes per fax using faxing software
in conjunction with an EAM application - this includes time spent launching the faxing application,
selecting the fax number, waiting for the application to dial, waiting for the confirmation that the
fax was sent, printing a file copy of the document, and updating the EAM application to indicate that
the document was sent.
According to the U.S. Census Bureau, the average hourly wage is $22.20 per hour - including salary,
benefits and overhead. At an average of 10 minutes each for manual faxing, that's $3.70 per fax and $2.59
per document using desktop faxing software. Manually sending 10 faxes a day costs $12,025 per person
a year and $8,417 per person a year using fax software.
